Job Vacancy Approval Processes

A Draft Job Vacancy will need to be “Approved” before it can be opened and/or posted to your careers site or job boards.  This process is slightly different depending on the user permissions that have been set by your LiveHire administrator.  

As a default, Admin and Recruiter users will have permission to use the Approve Now feature but Hiring Managers will not.

How to use Approve Now (if available):

  1. Go to a Draft Job Vacancy.
  2. Navigate to the bottom of the page and click Request Approval 
  3. Select Approve Now.

    (Tip: Once a job has been Approved using the Approve Now feature, it will be visible in the Approved Bucket on your Job Vacancies Dashboard.)Job_Vacancy_Approve_Now.gif

How to Request Approval For a Job Vacancy by One or More People:

  1. Go to a Draft Job Vacancy.
  2. Navigate to the bottom of the page and click Request Approval 
  3. Select Request Approvals again (if prompted).
  4. Input the details the required approval users along with a message.

    (Tip: LiveHire will begin suggesting approvers based on what you type in the First Name field.)
    (Optional: Click Add a Private Message to add a message to that specific approval user.)

  5. Choose your approval workflow sequence preference:

    1. At the same time - the approval request emails will be sent to all users that have been added to the approval workflow. 
    2. In Order - the approval request emails will be sent in the order that is shown under “Approver Sequence”. The second approver in the sequence will not receive the approval request email until the first approver has approved the request.


  6. Click Send Approval Request.

How to Modify an Approval Request:

  1. Navigate to the Job Vacancies Dashboard
  2. Click the Pending tab to view the Job Vacancies that are pending approval.
  3. Click the desired Job Vacancy to open the Job Details.
  4. Click the “kebab” menu (3 dots stack vertically) button and then click “Edit Approvers

  1. Click the “Actions” button on the approver that you would like to modify.
  2. Select the action that you would like to perform. 
    1. Manual Approve - This will approve the request automatically on behalf of the approver.
    2. Resend - This will resend the approval request to the user.
    3. Replace Approver - This will open a new window where you can input a different user’s details to complete the approval request.
  3. Click the “Update” button to save the changes to the approval workflow.

How to Send Back an Approval Request

If you’ve been sent an Approval Request that needs to be modified before you can approve it, you can use the Send Back feature. 

  1. From the Job Details screen, click the Send Back button.  
  2. Add your reasons for sending the approval request back. 
  3. Click the “Send” button

This will send an email notification back to the user that generated the approval request that includes your reasons for sending the request back.
