Follow this guide to learn how to correctly withdraw an offer letter in Humanforce Talent.
Context: why this matters
There are a few different actions that a user might take that will result in an Offer being withdrawn but there is only 1 correct way to withdraw an Offer. If an offer has been created / issued to a candidate and the application status is changed to a pre-offer status like Checks & Assessments or to an unsuccessful status such as "Withdrawn", this will withdraw the Offer.
The Withdrawn application status is intended to be used when an applicant withdraws their candidacy for the position. It will automatically withdraw any existing offers but it is also an Unsuccessful status and the workflow after this status change will lead to things like incorrect metrics related to notifying the candidate that they are unsuccessful when the reality is that there is probably just a minor edit that needs to be made on the offer.
It is also important to note that withdrawing an offer letter that has been accepted will require the offer to be re-created, approved and sent for acceptance. This will affect the time to hire for that position. For example, if an offer was accepted 30 days after the application was submitted, the time to hire will be 30 days. If this offer is withdrawn, reissued and accepted 20 days later, the new time to hire will be 50 days.
Steps
- Navigate to the Job Vacancy to view the applications.
- Click View Offer just below the Application Status
- This will open the Offer Details page
- Click the red Withdraw button. NOTE: clicking the Withdraw button will automatically withdraw the offer. This can not be undone.
You'll know that you've successfully withdrawn the offer when the red Withdraw button disappears.
